Guide for Integrating SlideRoom with MailChimp

SlideRoom allows you to find your best applicants through an easy to use applicant tracking system with full customization and streamlined evaluation tools. MailChimp lets you easily build mailing lists, manage campaigns, and setup custom email marketing. Together, you can automate the entire flow from submission to email campaign.

Set up a free Zapier account  

Zapier offers tiered pricing with a free introductory plan. You can review the Zapier pricing and plan options here

From the plans page, select the Free plan to get started.

Once you've signed up, you'll be able to make your first Zap. 

 


 

Create a "Zap" using the Webhook option

A Zap is simply a connection between two software applications using Zapier. You'll see a "Make a Zap" button on your dashboard when you are signed into Zapier. Click that button to get started. If you'd like a more thorough walkthrough of Zaps by Zapier, you can find their guide here

When you click "Make a Zap," you'll be taken to a page where you can choose your "trigger app." This is simply the software application where your data will originate from (SlideRoom in this case). Search for "webhook" and you'll find the Webhooks by Zapier option:

When you choose Webhooks by Zapier, choose Catch Hook on the next page:

The next page allows you to choose the data that will pass through. Do not change anything on this page as you'll want access to all data (you will be specify what data you send through SlideRoom's custom exports anyway). Just click Continue on this page:

Zapier will generate a webhook URL. You'll need to copy this URL, but Zapier makes it easy with a "Copy to clipboard" button. Click that.

Now, it's time to take that URL into SlideRoom and create a outbound webhook. 

 


 

Setup your SlideRoom Webhook

SlideRoom offers a variety of integrations for exporting your data, and webhooks are one of them. To access these integration options, click the gear icon in the top-right of your screen while logged in, then click Account Settings. On the left, then, click Integrations. 

You'll see a list of integration options, including Export Webhooks. Click "Add Webhook," and you'll be prompted to enter that URL you received from Zapier.

Save the webhook intergration, then it's time to create an export template. If you already have custom templates setup for your spreadsheet exports, then you can skip to the section titled "Run a Spreadsheet export in JSON format."

 


 

Create a Custom Export Template

To run a data export from SlideRoom, you will first need to set up an export template. You can do this through the Export Builder, a drag-and-drop interface that allows you to choose the data fields you want included in your export.

To access the Export Builder, click the gear icon in the top right corner of your Administrator Dashboard, then click Account Settings. In the left-hand menu, select Export Builder. You will then see a page with a list of pre-built export templates:

You can choose to modify any of these templates, or create a new one by clicking New Custom Export in the top right corner. When you click on that link, you will be asked which data type you want to export. Select your data type (this helps avoid layout conflicts in the system):

You will then be taken to the builder itself:

The sidebar of the builder represents all the data in the system, grouped by section. The content area represents the column headers that will be listed across the top of your spreadsheet once you complete an export. You can drag & drop the column order and even rename any column to match your database needs.

 


 

Run a Spreadsheet export in JSON format

Once you have built your export template, you can run your spreadsheet export. To do so, click on the Applicants tab at the top of your Administrator Dashboard. Select the applicants whose data you would like to export by clicking the checkboxes to the left of their applications, then click Export in the list of blue buttons that appears above the applicant grid. Select Spreadsheet:

Next, select the export format you want from the drop-down menu. You may choose between CSV, TSV, Excel, TXT, or JSON). For this Zapier integration, it's important you select JSON. Once you have made your selection, choose the template you'd like to use for your export by clicking the Generate button beside it:

You'll then be able to select your Zapier webhook integration as the destination for the data delivery:

When the export is done running, you'll see a confirmation message like this:

You can now verify the successful connection to the Zapier webhook by returning to the Zap you had started building and clicking the "Ok, I did this" button. You'll know the connection was successful when you see this screen:

Click Continue to choose what other software application you'd like to connect your SlideRoom data to. 

 


 

Connect SlideRoom to MailChimp

Zapier offers hundred of apps for you to use in connection with your SlideRoom data. Now that you have your export webhook created in SlideRoom, and you have Zapier accepting the data, you'll simply need find the MailChimp option and select it.

Once you've selected MailChimp, you'll be asked to connect to your existing account. Do so, and you'll be taken to the action page. Select Add/Update Subscriber:

The next step is to set up your template for adding or updating new subscribers to your MailChimp list. This will use existing data in MailChimp as well as the new data passed through from SlideRoom.

When you're done, you'll be able to run a quick test using test data. When your test runs successfully, you'll see the following message:

Congratulations! Now all you need to do is name your Zap and save it.
